Release and Resignation from Management Assistants' Service and Development Assistants' Service and Release from other services.

Necessary documents

  • The resignation letter submit by the relevant officer.
  • The letter by which the relevant officer's resignation from appointment is recommended by the head of institution
  • The letter by which the relevant officer's resignation from appointment is recommended by the Secretary of the Ministry.
  • If any, a copy of the new appointment letter
  • The letter to the effect that the officer has not obtained loans and that if the officer has not made the relevant application with one month's notice, the last salary has been recovered.
  • The letter to the effect that goods document in his/her possession have been duly handed over.
  • The relevant officer should submit his/her resignation from appointment a month before he resigns from his appointment. For other resignation, a month's salary should be paid back.

 

Approval of new posts

The form under FR71 with the application by the institution/Department who need to get new posts approved and the justification report, recommendation letters of the  Head of Institution/Department and the recommendation letter of the Secretary of the Ministry should be referred to the Chief Secretary along with four copies.

 Facts to be taken into consideration

  • To properly obtain the approval of the Secretary of the Ministry
  • To see whether the scholarship or training has been granted through the proper channels.
  • To see whether the period has been duly mentioned.
  • To ascertain whether supporting documents has been properly provided.
  • To ascertain whether annexed have been duly attached.

Facts to be taken into consideration

The application should be recommended by the head of department/Secretary of the Ministry (letter to the effect that disciplinary action is not pending against the officer, the letter to the effect that the officer has been made permanent in the appointment and on acknowledgement letter on seniority order)

In recommending the application, consideration should be taken into the fact that the transfer is with or without a replacement.

 

Functions of the Personnel Division

  • Carry out all activities to fill vacancies in the State Management Service of the Southern Province.
  • Review of the staff.
  • Approve new posts.
  • Carry out disciplinary control over the all officers of the Provincial Public Service.
  • Carry out all activities relating to vacancies in services in the Provincial Public Service.
  • Recruit personal staffs of Hon. Ministers of the Southern Provincial Council.
  • Necessary activities for recruitment on Casual, Substitute and contract basis.
  • Approve schemes of recruitment for services of the Provincial Public Services of the Southern Province.
